Information Collected and Stored Automatically


If you are viewing the website as a visitor, i.e. without loging in as a member or submitting a registration or abstract submission form, some information of a non-personal nature regarding your site visit will be automatically collected in order to generate website usage statistics that will be used when planning future upgrades to the website.  The information that will be automatically collected and stored will be the following:

  • The Internet domain and IP address from which you access the website
  • The type of browser and operating system you are using to access the website
  • The date and time that you accessed the website and the website pages you visited
  • If you linked to the website from another website, the address of the referring website

All this information does not identify you personally in any way.

ESERA members (including temporary members)

If you are visiting the website as an existing or temporary member, the abstract and registration details submitted will be collected and stored in the ESERA2015 database.  In addition, member details will be saved in the ESERA members' database that is accessible from the website.  Data includes the personal contact details and other personal information that you will submit as part of your membership and conference registration, as well as details regarding your membership type, payment status and history.   When submitting an abstract, details of the abstract submitted as well as the names and email addresses of the authors, co-authors and any other participants will be saved in the database.

No credit card details will be stored in the database; all online credit card payments are handled by JCC Payment Systems Ltd and the credit card details are entered directly on the JCC secure server platform which meets all the required security standards (3Dsecure, Verified by VISA and MasterCard SecureCode).

The information collected will be used for the following reasons:

  • Internal record keeping
  • Registrations to the ESERA2015 conference will be used for the coordination of the conference
  • Abstracts will be submitted for review, and on approval will be used to produce the conference program and the book of abstracts
  • The email address and contact details of registrants and abstract participants will be used to circulate information and announcements about the ESERA conference which we think you may find interesting
  • To contact you regarding any membership or other queries which may arise

As an ESERA member, you will have access to an online Member's Account on the website through which you will be able to access and amend your contact and membership details, including your username and password.  New members will be able to select their username / password upon registration, whilst existing members will receive emails containing an automatically generated username / password which can be changed upon logging in.  If you are an existing ESERA member and do not have a username / password, please contact ESERA via the Contact Us form

All registration and dues confirmations will be sent via automated email.

Online Payments Processing

JCC Payment SystemsOnline payments are handled by JCC Payment Systems Ltd. using their secure platform which meets all the required security standards (3Dsecure, Verified by VISA and MasterCard SecureCode).  Prior to proceeding with your payment, you will be able to review a summary of the items due to be billed, and the total amount due. On completing a successful online payment, a transaction with the name "University of Cyprus" will appear on your bank statement. A unique reference number will be assigned to each approved transaction which will be displayed in the confirmation page and in the confirmation email.

Refunds or Cancellations

Refunds on ESERA Membership Subscriptions are not possible.  If you wish to cancel your membership, please contact ESERA via the Contact Us form.

Refunds on ESERA Conference Registration Fee, including Accompanying Persons and Conference Dinner Tickets are not possible after 15 May of the actual conference year. Before 15 May you may cancel your registration by sending a refund request via the Contact Us form. In your request please make sure that you will include your complete name, the email address you used during the registration process and also your registration reference number. A 40% administrative fee will be withheld on all refunded registration fees, including accompanying persons, and also on conference dinner tickets.
